There is something that has happened twice in past year that I need to vent about: I make a request through Docline, and when I check to see its progress, it says it's been filled -- but the article has not been received. Both times (different institutions), when I called I was told, "Oh, that's just the way we do it. We mark it filled and then we do the scan later."
I think this is misleading at best and infuriating at worst. If you do this, please stop. If it's never happened to you, consider yourself lucky!

Docline is a wonderful program/service, as I found out when I recently took over filling requests via Docline. I agree that one flaw is there is not much consistency in how we borrow and lend. Every institution seems to have their own way of doing things. I used to answer first, but found that much can go wrong in delivering an article - either scanned or faxed. Since then, I wait to be sure the article is actually sent before answering "filled" in Docline. Bottom line, though, is I am glad libraries are willing to spend time & resources to help out other libraries. Time constraints may account for some of these differences in procedure.

You are right, this is an incorrect and confusing way to handle Docline
requests. The Docline Fact Sheet at NLM even clearly states "After a
request is either filled or not filled, the lender updates the record so
the borrower is informed of its status." Docline Best Practices for
Users, #8 under "Filling Requests", also addresses this - "Mark an ILL
request as "filled" only after it has actually been sent". Marking an
item "filled" before it is filled is NOT the correct way to handle
requests.

I agree it would be infuristing to experience such a process.
More importantly, this backwards-process creates mega room for error.
Also it is not "one piece flow" a standard process for error reduction
and efficiency.
Something to think about.

Yes, there are some libraries that do this way. I agree it's not the best. We had one library say they had sent it, a big snow storm hit, and they didn't actually send it for a couple of days after the date it reported as sent. I think there ought to be a standard set that doesn't allow for this.

There is something that has happened twice in past year that I need to vent about: I make a request through Docline, and when I check to see its progress, it says it's been filled -- but the article has not been received. Both times (different institutions), when I called I was told, "Oh, that's just the way we do it. We mark it filled and then we do the scan later."
I think this is misleading at best and infuriating at worst. If you do this, please stop. If it's never happened to you, consider yourself lucky!

Docline is a wonderful program/service, as I found out when I recently took over filling requests via Docline. I agree that one flaw is there is not much consistency in how we borrow and lend. Every institution seems to have their own way of doing things. I used to answer first, but found that much can go wrong in delivering an article - either scanned or faxed. Since then, I wait to be sure the article is actually sent before answering "filled" in Docline. Bottom line, though, is I am glad libraries are willing to spend time & resources to help out other libraries. Time constraints may account for some of these differences in procedure.

You are right, this is an incorrect and confusing way to handle Docline
requests. The Docline Fact Sheet at NLM even clearly states "After a
request is either filled or not filled, the lender updates the record so
the borrower is informed of its status." Docline Best Practices for
Users, #8 under "Filling Requests", also addresses this - "Mark an ILL
request as "filled" only after it has actually been sent". Marking an
item "filled" before it is filled is NOT the correct way to handle
requests.

More importantly, this backwards-process creates mega room for error.
Also it is not "one piece flow" a standard process for error reduction
and efficiency.
Something to think about.

Yes, there are some libraries that do this way. I agree it's not the best. We had one library say they had sent it, a big snow storm hit, and they didn't actually send it for a couple of days after the date it reported as sent. I think there ought to be a standard set that doesn't allow for this.

Attending a DOCLINE or EFTS workshop many, many years ago we were told
"fill the order first, then reply."
Need to tell all that I've slipped once or twice unintentionally. It IS
a GREAT practice to fill that order then go into the "filled" field. It makes
perfect sense and as Ellen suggested, this could be incorporated into
perhaps a fact sheet, guideline or best practice. Marsha Kmec
